How to Create a new Prospect Account in CRM

You can create a quote from a Prospect Account, but the Prospect must be promoted to a Sold-To before you can submit the quote for an order.

You can create  a new Prospect Account yourself, or you can ask one of these Team members to create it for you.

Go to Accounts
Change Search for: to Corporate Accounts
Search by City, Region, and put first letter or first word with an asterisk in Name 1.
Make a thorough search to be sure that you are not creating a duplicate account.

Once you’ve confirmed the account doesn’t already exist, make sure you have already collected to

  • Account Name
  • Account Address, including zip code, city, state and country
  • Account phone number

Click on Corporate Account in the empty Results List.

 

The country will default to US and must be changed if entering a Canadian account. 

Once the information has been entered, select Save, which will initiate a series of checks by the system.
First, the address entered is checked against USPS information for accuracy, and the system provides a suggestion based on what is found. This includes abbreviating things like Street to St, and Suite to Ste. 
It will also add the additional 4-digit postal code to the address. Additionally, note it’s adding the ‘District’, also known as the County, to the address information. 

If this looks correct, select “Accept”.

The system will also check for duplicate accounts. This is a helpful safeguard to see if there is an existing account with some similarity in the records. 

The CRM system check will rate the percentage of similarity and shows the Account ID of similar accounts found.

In this instance it appears there is an account already in CRM for this customer. To avoid creating a duplicate we will stop the new account creation. Copy the partner ID listed to capture it, then select Cancel in this window, and Cancel in the new account window without saving changes. Then look the existing account up by pasting the Account ID into a new Account Search.

If the system does not find a duplicate account, or the duplicates are not relevant, select Ignore to continue with the save.

There are occasions in which the new account won’t save right away, and CRM will throw errors about the Tax Jurisdiction Code not matching the address. If this happens, simply clear out the Tax Jurisdiction Code and select Save again.
 

Go to Sales Area Data, and click on the paper icon:

Fill out the Organization Data, click on the search square:

Sales Office, select . . . 

Sales Group, select . . . 

District, select . . . 

Click on the green checkmark Back in the upper Left.
Click on Save in upper left corner.

 

 

Once the account has successfully saved, it’s ready to have a Contact added to it.  Scroll down to Current Contacts, and click on Add.

Click on the search square:

If it’s a new contact at a new account, click on New:

Fill out highlighted fields below, then click on OK:

Click on green check mark Back in upper left corner
Click on Save in upper left corner
You are done!
