Microsoft Outlook - Setting Reminders

An alternative to creating CRM Reminder Tasks for yourself is to use Microsoft Outlook and set follow ups on specific emails. (This is up to preference. You may also use both CRM Tasks and Email Reminders if you wish!)


Creating a new email with a Follow Up date:

  1. After composing an email, but BEFORE sending it, select the red flag icon drop down. You can select a date, or set a custom date here.

    You can also use the hotkey (Ctrl+Shift+G) to quickly access the custom follow up menu.

2. In the Custom menu, you can set the “due date” to the specific date you want to be reminded to follow up.

3. Back in your Outlook overview, these reminders will show as red flags in your “task list” which usually defaults to the left hand side of your Outlook workspace. You can double click on the text of these tasks and it will pull up the sent email it was created from directly.

 

To add a follow up date to an email you have already sent:

Right click on the email, select “follow up” and “custom” to access the custom follow up screen and add a reminder date.

 

Additional Notes:

You can reorder the tasks in your Task List or categorize them according to your organizational preferences under the Task List menu:

To rename the task, right click on the text and scroll down to “rename task” and revise the text field.
Don't worry, this will NOT revise the subject line of the email, just the name of the task in your task list.



Be aware! Sometimes you will have to wait for Outlook to finish sending an email or loading a newly made follow up task before it will permanently save the renamed task title. Even when it looks like you have successfully renamed it, it will suddenly revert to the previous name. Outlook is slow, so please be patient. Sometimes you will need to rename your task multiple times before it actually takes!
