Purchase Order Review

Certain information is very important to have on a purchase order (PO) so that the customer gets the correct items, the invoice is correct and paid in a timely manner by the customer. 

Steps to Review Customer Purchase Order:

  1. The vendor listed on the PO should be: Carl Zeiss Industrial Quality Solutions, LLC. Abbreviations are acceptable such as:

Carl Zeiss IQS, LLC
Carl Zeiss IQS LLC
Carl Zeiss Industrial Quality Solutions, LLC
Carl Zeiss Industrial Quality Solutions LLC
Carl Zeiss Inc dba Carl Zeiss IQS LLC or written out the long way            
Carl Zeiss Ind Qual Sol or any abbreviation that their systems allows as long as it is identified clearly as an IQS account (CZ Industrial Quality)
 

  1. Correct ZEISS address must be listed. The preferred address is: 6250 Sycamore Lane North Maple Grove MN 55369-6310. We can also accept our remit to address: 28867 Network Place, Chicago, IL 60673-1288
  2. The standard ZEISS payment terms must be clearly stated on the PO to be Net 30 days. We can accept up to Net 60 but nothing longer unless customer has an LTA Long Term Agreement specifying special payment terms.  For example, a few LTA customers (Schaeffler) or strategic accounts (Chrysler/Stellantis, Pratt & Whitney) have Net 90.
  3. The Customer's Bill to and Ship to Address should be on the purchase order. 
  4. The dollar amount must match what was quoted. It is preferred but not required that separate items are listed as separate line items.  If a PO is for a larger dollar amount or for one lump sum it is acceptable (but not preferred) that an email is attached from an authorized person at the customer stating that multiple invoices or those for a lesser dollar amount will be paid.  
  5. It is helpful but not required if the Customer references a Quotation Number and/or clearly labels each line on the order. 
  6. Review the PO for any Special Requirements.  Those of a technical nature must be presented to the Service Technical Support team. Those of a commercial nature must be presented to the Aftermarket Sales Manager. Depending upon the specific requirements, we may opt to send the PO back to the customer to be modified.  In case we do accept a PO containing any Special Requirements, this must be documented within a CRM Internal Note.
